1. Introduction

This Privacy Policy describes how we collect, hold, use, and disclose personal information in connection with our online website and platform hosting services (“the Service”). We are committed to handling personal information responsibly and in accordance with the Privacy Act 1988 and the Australian Privacy Principles (APPs).

This policy is provided free of charge and is available on our website at all times.


2. Kinds of Personal Information We Collect and Hold

We may collect and hold the following kinds of personal information:

  • Identity information — your name, business name, and ABN or ACN (where applicable).
  • Contact information — your email address, phone number, and postal or business address.
  • Billing and payment information — invoicing details, PayID transaction references, and payment history. We do not store bank account numbers, BSB numbers, or credit/debit card details. Payments are processed via PayID using our ABN, and we retain only the transaction reference and amount for our records.
  • Account and service information — your username, service plan, domain name(s), support requests, and technical configuration details related to your hosted website(s).
  • Communication records — correspondence between you and us, including emails, support tickets, and any other written communications.

We do not collect sensitive information (as defined by the Privacy Act) unless it is reasonably necessary and you have consented to its collection.


3. How We Collect Personal Information

We collect personal information:

  • Directly from you — when you sign up for the Service, submit a support request, make a payment, or otherwise communicate with us.
  • From third parties — only where you have authorised a third party (such as a domain registrar) to share information with us on your behalf.

We do not collect personal information by covert or unfair means. If we receive unsolicited personal information that we did not request and that is not reasonably necessary for our functions, we will destroy or de-identify that information as soon as practicable.


4. Purposes of Collection, Use, and Disclosure

We collect, hold, use, and disclose personal information only for purposes that are reasonably necessary for, or directly related to, our functions and activities. These purposes include:

  • Providing, maintaining, and administering your hosted website(s) and associated services.
  • Processing payments and maintaining billing records.
  • Communicating with you about your account, service updates, scheduled maintenance, and support matters.
  • Responding to your enquiries and support requests.
  • Meeting our legal and regulatory obligations, including taxation and record-keeping requirements under Australian law.
  • Investigating and resolving technical issues or security incidents affecting the Service.

We will not use or disclose your personal information for direct marketing purposes without your explicit consent.


5. Anonymity and Pseudonymity

Where it is lawful and practicable, you have the option of not identifying yourself or of using a pseudonym when interacting with us. However, if you choose not to provide us with certain personal information, we may not be able to provide you with the Service or respond to your enquiries.


6. Data Storage, Security, and Retention

6.1 Storage

All data associated with the Service is stored on private servers located in Australia. We do not store your personal information or hosted website data on overseas servers or with overseas cloud providers.

6.2 Security Measures

We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification, and disclosure. Our security measures include:

  • All server backups are fully encrypted.
  • Access to servers and administrative systems is restricted to authorised personnel only.
  • Each client’s website is hosted in an isolated environment, meaning that no other client can access your data.
  • We use secure, encrypted connections (TLS/SSL) for all web traffic to and from hosted sites.
  • We regularly review and update our security practices.

No method of electronic storage or transmission is completely secure. While we strive to use commercially acceptable means to protect your personal information, we cannot guarantee its absolute security.

6.3 Retention

We retain personal information only for as long as it is reasonably needed for the purposes described in this policy, or as required by law. Specifically:

  • Active accounts — your personal information is retained for the duration of your service with us.
  • Cancelled accounts — upon cancellation, we will retain billing records and essential account information for the minimum period required to meet our obligations under Australian taxation law (generally 5 years from the date the records are prepared or the transactions completed). Website data and backups for cancelled accounts will be securely destroyed within 30 days of cancellation unless otherwise agreed in writing.
  • Communication records — retained for a reasonable period to support ongoing service and dispute resolution, and then destroyed.

When personal information is no longer needed, we will take reasonable steps to destroy or de-identify it.


7. Disclosure of Personal Information

We do not sell, rent, or trade your personal information.

We may disclose your personal information to third parties only in the following circumstances:

  • Where you have consented to the disclosure.
  • To comply with a legal obligation, such as a court order, subpoena, or mandatory reporting requirement.
  • To enforce our terms of service or protect our legal rights.
  • Where reasonably necessary to prevent a serious threat to the life, health, or safety of any individual, or to public health or safety.

7.1 Overseas Disclosure

We do not disclose personal information to recipients outside of Australia. All data processing and storage occurs on Australian-based servers under our direct control. If this changes in the future, we will update this policy and notify affected clients before any overseas transfer takes place.


8. No Automated Decision-Making

We do not currently use automated decision-making or computer programs that use your personal information to make decisions that could reasonably be expected to significantly affect your rights or interests. If this changes, we will update this policy to include the disclosures required under APP 1.7–1.9.


9. No Analytics or Tracking on Hosted Sites

We do not operate analytics, tracking scripts, or advertising technology on the websites we host on your behalf. Any analytics or tracking that appears on your hosted website is your responsibility as the site operator, and should be covered by your own privacy policy.


10. Access and Correction

You have the right to:

  • Request access to the personal information we hold about you.
  • Request correction of any personal information that is inaccurate, out of date, incomplete, irrelevant, or misleading.

To make a request, please contact us using the details in Section 12 below. We will respond to your request within a reasonable period (and in any event within 30 days). We will not charge you for making a request or for correcting information.

If we refuse a request for access or correction, we will provide you with a written explanation of the reasons for the refusal and the mechanisms available to you to make a complaint.


11. Notifiable Data Breaches

In the event of an eligible data breach (as defined by Part IIIC of the Privacy Act), we will:

  • Take reasonable steps to contain the breach and assess the risk of serious harm to affected individuals.
  • Notify the Office of the Australian Information Commissioner (OAIC) and affected individuals as soon as practicable if the breach is likely to result in serious harm.
  • Include in our notification a description of the breach, the kinds of information involved, and recommendations about the steps individuals should take in response.
